Working Agreement

  1. Communication: The major mode of communication will be email list-serve.
  2. Meeting Attendance: All meetings will begin and end on time. If a member of the committee cannot attend a meeting, he or she will notify the current chair. If a member is unable to attend but is able to call in, they may be included in the meeting by conference call. If a member cannot attend 4 consecutive meetings, a substitute may attend in their place. Depending upon the agenda, meetings with fewer than 5 members present may be canceled or rescheduled.
  3. Open Meetings: All meetings are considered open meetings; any library employee may attend. As a courtesy, employees interested in attending should notify the current chair. If employees wish to add an item to the agenda, they should notify a committee member.
  4. Commitments: All members of the committee agree to come prepared to meetings and to follow through on commitments made to the group.
  5. Recorder/Agenda: The recorder will provide a draft of the minutes within 2 days of the meeting. Members then have two days to suggest edits or corrections. The approved minutes will be sent to all employees via the "Decision Digest/Minutes Archive." At the end of each meeting, an agenda will be built for the next meeting. Each agenda will include a space for "additions to the agenda," "announcements," and "suggestions from Library Employees."
  6. Decisions: All decisions will be made by consensus. The definition of consensus for this group will be that most members agree and that all members can live with a particular decision. All members need to utilize their opportunity to share and discuss issues. If a consensus is not clear, the issue will be moved to the next meeting’s agenda, or, if that is not possible, a simple majority vote will pass the issue. All dissenting views, opinions, and ideas will be recorded in the minutes.
  7. Responsibility: One (or in some cases more than one) member of the committee will volunteer to take responsibility for each project or event. They will be the contact person for that project or event, and they will be responsible for reporting back to the group about progress, outcome, or completion.
