Guidelines for Business and Event Planning
1. ADA Language
On all notices of public events sponsored by the Libraries (including training or other events for employees), we should include the following statement:
“Reasonable accommodations provided upon request with adequate prior notification.”
Prior to scheduling events, the coordinator of the event should look for availability of time slots on the Libraries Master Schedule (on Meeting Maker) and should try to avoid calendar conflicts. Events that might involve many or all Library employees should be posted to the Libraries Master Schedule.
Events of interest to the public should also be posted on the WSU calendar.

Click on “Add event” and follow the directions to post events to the calendar. Coordinators also may wish to check the WSU Calendar prior to scheduling events that may potentially impact many people.
3. Charitable Organizations
All charitable activities in support of non-profit organizations other than the Combined Fund Drive need to be cleared through the WSU Business Affairs Assistant Vice President. This would include events such as our annual canned food drive. We should be prepared to send a memo requesting approval well in advance of the event.
Library employees may make cash donations for specific events. Cash may be given for specific things (such as to purchase paper plates and decorations for a party), but a pool of cash should not be kept. Money cannot be raised at one event for use at a future event. Donors must be notified about what the money will specifically be used for.
Employees may donate items to be given away as door prizes. They may donate items they already own, or they may purchase items to donate. They may not ask businesses for donations of gift certificates, merchandise, or coupons to be given away at Library events.
Employees may purchase items for sale by EDWG (such as T-shirts or cookbooks) however, only the actual cost may be collected.
