3.j        PERSONNEL RECORDS

 

            1.  Open Files

 

            Each library faculty member is expected to make available in the Library Administrative Office annually, up-to-date written information suitable to his/her annual review, and for tenure consideration if applicable.  This information is maintained in an open file for each faculty member.  The file is available to all who are appropriately involved in annual review and tenure considerations.

            The Faculty Professional Activity Report is one form of information which may be kept in the open file, as well as documentation of other activities such as current committee work, publications, papers presented, etc.

 

            2.   Other Files

 

                  a.  University

                  "A permanent cumulative personnel record is maintained in confidential files in the President's Office for each member of the faculty.  Each new member of the faculty fills out a Faculty Personnel Questionnaire, thus providing initial information for the file.  Material submitted by deans and department chairs, pertinent correspondence, and other information also become part of the cumulative record.  Anonymous communications relating to faculty members are not made a part of the personnel files."      [WSU Faculty Manual, 1992, p. 67]

 

                  b.  Library

                  The Library Administrative Office maintains a closed personnel file on each member of the Library Faculty, which contains papers such as Personnel Action forms, confidential letters of reference, memoranda of commendation or reprimand and other pertinent papers.           [D.             3.  Faculty Professional Activity Reports

 

                  WSU Faculty Professional Activity Reports are currently not submitted by Library Faculty to the university administration.  There is no administrative need for this information from librarians and no known advantage for library faculty supplying this information.
