“Guidelines for Pre-payment of
Library Faculty Members’ Personal Membership for Professional Organizations by
the WSU Libraries”
Library Council confirmed that faculty travel allocations can be used for travel and/or professional memberships/dues (LC Minutes 9/8/99). Since the pre-paying procedure creates administrative difficulties, Library Faculty are encouraged, whenever possible, to use allocations for travel expenses rather than for professional membership expenses.
When Library Faculty choose to apply travel allocations to pay professional organization(s) membership dues, the following must be submitted to the Library Administrative Office (Susan Lundquist):
1. A fully completed renewal notice or membership dues form, clearly typed or printed. Either a home or work address maybe used.
2. If the travel allocation does not fully pay membership expenses, then Library Faculty must submit a check to LAO for the balance of the amount owed, made payable to the organization.
3. The renewal notice/dues form must have a complete mailing address for the organization. WSU will not pay membership dues without a complete mailing address.
Once the form/notice is received in LAO, a requisition is prepared, approved by Nancy Baker, and then sent to the WSU Purchasing Office. After processing, Purchasing will forward it to Accounts Payable where it is mailed to the organization with payment. This process may take several weeks. LAO maintains records of each faculty member's travel allocation expenditures for the fiscal year.
